1. Five rules for email security without compromise
Billions of emails are sent every day. But increased email traffic means increased threats, including industrial espionage and information theft. The confidentiality and integrity of email communication is in the spotlight, and requirements relating to measures for data protection increase on a daily basis.
A central process that takes into account all aspects of email communication, while taking the pressure off the user, has become more important. GROUP Technologies is this central entity and our iQ.Suite offers a total email security solution for more confidentiality and efficiency. Our solution covers organizational and legal aspects as well as the usual technical features.
Here is a summary of the five key rules for protecting your email communication:
- Protect your company against spam.
Spam is the number one threat to productivity and places a burden on your infrastructure as well as your email archive. That is one more good reason to counteract this phenomenon. iQ.Suite Wall provides your company with reliable protection against spam and junk mail using multi-layer anti-spam technologies. This solution offers individual management of blacklists and whitelists, as well as user-specific quarantine. - Control and prevent the transmission of confidential content.
The analysis function integrated in iQ.Suite Wall can prevent confidential data being sent via email, as well as email being sent without inspection. Reliable content controls guarantee that email and attachments with sensitive contents are detected and filtered. Based on explosive topics in compliance and data protection, an additional entity is queries to establish an efficient release process and dual control principle: iQ.Suite Smart. As part of the email management solution from GROUP Technologies, iQ.Suite Smart ensures that business-critical email can be checked by a second person before being sent. - Protect against viruses and block unwanted attachments.
Viruses have always been one of the biggest threats to businesses. If a virus spreads in your internal infrastructure, this can quickly lead to business-critical systems failing. iQ.Suite Watchdog guarantees comprehensive, server-based protection against electronic threats in your email server environment. Combined with leading anti-virus technologies, your system is optimally secured - and our fingerprint technologies merely supplement this status. This tamper-proof pattern is used to reliably detect viruses and dangerous file attachments and place them in quarantine. - Follow legal regulations regarding email communication.
Organisations where email communication is used for business purposes every day are subject to legal requirements on form. In several European countries, companies have to include mandatory information in business-related email correspondence. iQ.Suite Trailer offers a way of complying with these regulations when using email. Legal disclaimers and notices, security advice, waivers, and company information can be appended centrally to all outgoing email. Additional functions offer the option of delimiting these texts according to person, group and domain. - Ensure confidentiality by encrypting your email.
Unencrypted email is like postcards - these mails can be read by anybody. This is, of course, not in the interest of the company. iQ.Suite Crypt uses flexible rules to centrally define company-wide encryption guidelines, thus establishing a secure communication structure. Without interaction from end users, a number of different methods are supported simultaneously. As an add-on, iQ.Suite WebCrypt can be integrated quickly and seamlessly into the existing network and enables the immediate exchange of encrypted email with communication partners who do not possess their own encryption solution. This makes it possible to exchange email communication with all communication partners.

4. Exchange/SMTP Corner: Tamper-proof email storage
Tamper-proof email archiving is the key to improved legal compliance in email communication. Continuity and storage frequency often play a deciding role.
iQ.Suite allows email cached in journal mailboxes to be archived - not just once a day, but regularly and continuously (for example, every 10 minutes) - using realtime archiving.
