2. Four-eye principle - Do it the smart way
How can you reliably manage the dispatch of confidential data in emails? Is there a way of establishing additional authorization phases prior to sending? Can such an authorization process be integrated with maximum efficiency in the email process? These and many other aspects are gaining importance in the current economic environment - not only in the finance sector.
In view of the big issues in the areas of compliance and data privacy, it is becoming more and more important to check business-critical information prior to dispatch. What is needed is an additional authority that effectively manages mail flows and minimizes the potential risks. iQ.Suite Smart is such an authority.
As one component of the iQ.Suite email management solution, Smart integrates seamlessly in the electronic email business process and allows users to establish a four-eye principle for email dispatch. This means, for example, that managers can check and authorize the emails sent by their employees. This not only guarantees greater legal compliance in day-to-day email handling but also efficient use of a reliable authorization process.
More information on iQ.Suite Smart is available here.
3. GROUP Technologies win OPDV approval
The iQ.Suite Store and iQ.Suite Bridge solutions for legally compliant email archiving passed with flying colours on all counts during three months` intensive testing by S-ConSiT GmbH. The service company within the savings bank financial group (Sparkasse-Finanzgruppe) specializes in IT audits, IT security and data privacy and attested to the fact that solutions from GROUP Technologies comply with all security and quality requirements.
The main aspects included in the test were security, functionality, user and service-friendliness and efficiency. At the end of testing GROUP was awarded OPDV approval. The approval process certifies that GROUP meets the requirements for correct software usage and is thus an optimal solution for legally compliant deployment at local and central savings banks.
The GROUP solutions for legally compliant email management are already in operation at over 85% of savings banks. OPDV certification means that customers can map their entire email process with iQ.Suite. In addition, OPDV approval is expected by the end of the year for the new iQ.Suite WebCrypt email encryption solution, which guarantees quick and secure email exchange with all communication partners irrespective of whether or not encryption technology is used.
4. iQ.Suite Tips & Tricks for Lotus Domino: Using whitelists to prevent quarantining of business emails
It is annoying when a spam mail slips through without being detected as such. However, the damage resulting from these "false negatives" is usually minimal. However, it becomes critical when business emails are identified as spam and quarantined (false positives).
The results can be bad for business and damage a company’s image. One of the most effective ways of preventing this is whitelisting. This means keeping lists of senders and domains that are known not to send spam and therefore do not need checking or filtering.
Read about a simple way of avoiding false positives by using whitelists in the latest issue of our Tips and Tricks.
Advanced and automatic whitelist creation is discussed in detail at our training sessions and implemented "live".
5. Exchange/SMTP Corner: Four-eye principle protects corporate data
Four eyes see more than two. Emails containing sensitive company data should therefore not leave the organization until authorization has been given by a control authority. The iQ.Suite Watchdog Attachment Filtering Job checks all outgoing emails for the file types to which the four-eye principle is to be applied.
Find out here about the two available filter options that redirect defined emails to a mailbox for review or place them in quarantine so that they can be checked by a second reviewer and forwarded.
Read here to find out how employees in your company can obtain this option.
